Team Management
Collaborate effectively with your team using AlgoMuse's team features. Invite members, assign roles, set up approval workflows, and manage permissions across your organization.
Overview#
AlgoMuse's team features are available on Professional, Business and Enterprise plans. They enable:
- Multiple team members with different access levels
- Content approval workflows before publishing
- Activity logs and audit trails
- Shared content libraries and templates
- Team-wide analytics and reporting

Inviting Team Members#
Access Team Settings
Navigate to Settings → Team from your dashboard.
Send Invitation
Click "Invite Team Member" and enter their email address. You can invite multiple people at once by separating emails with commas.
Assign Initial Role
Select a role for the new member:
- Admin - Everything a Member can do, plus inviting and removing people, connecting accounts, approving posts and changing settings
- Member - Creates, edits, schedules and publishes posts, uploads media and uses AI
- Viewer - Read-only access to content, analytics and settings
Each workspace also has one Owner, who is the only person who can manage billing or delete the workspace.
Account Setup
The invitee will receive an email with a link to create their account. Once they accept, they will have immediate access based on their assigned role.

Roles and Permissions#
Understanding roles helps you assign the right permissions to each team member:

Each role includes everything the role below it can do. The server checks these permissions on every request (packages/auth). Approval workflows add review steps on top, so a Member's post can wait for sign-off before it publishes.
Custom Roles#
Enterprise plans can create custom roles with granular permissions:
Create Custom Role
Go to Settings → Team → Roles and click "Create Custom Role".
Name and Configure
Give your role a descriptive name (e.g., "Social Media Intern") and select specific permissions:
- Content permissions (create, edit, delete, publish)
- Account access (which connected accounts they can use)
- Analytics access (view, export, create reports)
- Settings access (brand voice, templates, queue settings)
Assign to Members
Apply the custom role to team members from their profile or during invitation.
Approval Workflows#
Approval workflows ensure all content is reviewed before publication. This is essential for brand consistency and compliance.
Setting Up Workflows
Enable Approval Workflow
Go to Settings → Publishing → Approval Workflow and toggle it on.
Configure Rules
Define when approval is required:
- Manual - Content is sent for approval when someone requests it
- By workflow type - A particular kind of workflow always needs approval
- By content type - Certain types of content need approval
- By budget - Anything above a budget threshold needs approval
Assign Approvers
Add one or more steps, and name the approver for each by role or by person. A step can require everyone in it to approve, can time out, and can be marked as skippable.
The Approval Process
Pending Review
When a post needs approval, it enters "Pending" status and approvers are notified.
Review
Approvers review the content, can leave comments, and request changes if needed.
Approved
Once approved, the post moves to "Scheduled" and will publish at the designated time.

Team Activity and Audit Log#
Track all team activity with the audit log, available at Settings → Team → Activity Log.

- Post creation, edits, and deletions
- Publishing and scheduling actions
- Approval decisions and comments
- Account connections and disconnections
- Team member additions and role changes
- Settings modifications
- Login activity and security events
Using the Audit Log
Filter by User
View all actions taken by a specific team member to review their activity or troubleshoot issues.
Filter by Action
Find all instances of specific actions like 'post deleted' or 'role changed' across the team.
Export for Compliance
Download activity logs in CSV format for compliance reporting or external audits.
